We are seeking a Procurement Administrative Assistant to provide comprehensive support to the Procurement Services Department.  This position requires independent thinking and self-directed prioritization of activities to ensure timely deliverables based on departmental needs. Good judgment, excellent customer service skills, and a professional demeanor are key components to the success of this role.



  • Understand and articulate Procurement Initiatives across Sourcing, Operations, and Systems
  • Create and proactively manage Pipelines for Systems Initiatives, Supplier Initiatives, Fleet Management, Maintenance, and Operational Systems (CORE) Initiatives
  • Create and proactively manage Project Schedules for Systems Initiatives, Supplier Initiatives, Fleet Management, Maintenance, and Operational Systems (CORE) Initiatives
  • Own Supplier Initiatives including (but not limited to) reduction, streamlining, database cleanse, and adoption of preferred suppliers
  • Maintenance and auditability of enterprise approval routings, landed costs, supplier requests, and item master transactions
  • Own day to day transactions of strategic, sourced suppliers including Shell, Fastenal, and Fed Ex
  • Comprehensive analysis to resolution of ongoing problem transactions within Accounts Payable
  • Entry to resolution tracking of system enhancements and break fix incidents
  • Own and maintain interfaces and data automation between 3rd party systems and ERP, such as Supplier Compliance and Fleet Management Data
  • Ownership of enterprise owned fleet titles, fuel cards, insurance materials and related transactional tasks
  • Creation, dissemination, and ongoing maintenance of critical departmental communication
  • Maintain internal Procurement portal ensuring timely, accurate, professional data
  • Centralized documentation management of internal contracts and outsourced services
  • Operational Services support as required such as rail lease ownership, procurement support, and AP Support
  • Central phone, department mail, office supplies, document retention requirements, coordination of procurement activities, department activities, conferences, and scheduling of appointments
  • Perform other responsibilities as assigned by management

Job Requirements:

  • Degree in Supply Chain, Business, or Communications preferred
  • Minimum 2 years in a contracts and procurement position or 5 years administrative/support role with strong references
  • Advanced proficiency with Word, Excel, PowerPoint, and Outlook essential
  • Tableau and MS Project experience preferred
  • Exceptional verbal and written communication
  • Strong organizational skills and attention to detail
  • Self-starter with professional demeanor
  • Adherence to guidelines while applying logic to each unique situation
